Aigenis AI (operated by ZAKI AI, Lahore, Pakistan, "we", "us") builds WhatsApp-based automation systems for businesses and clinics ("clients"). This policy explains what personal data we handle and why.
1. Who is responsible for the data
When a patient or customer messages one of our clients on WhatsApp, the client (for example a clinic or an agency) decides why their data is collected and is the data controller. We process that data on the client's behalf as a service provider. For data collected directly on aigenis.pk (inquiry messages, demo requests), we are the controller.
2. Data we may process
- Contact details: name, WhatsApp phone number.
- Message content: the messages a person sends to a client's WhatsApp number.
- Booking details: requested service, doctor or agent, date and time, status.
- Health-related information: where a clinic asks pre-visit questions, the answers the patient chooses to provide. These are shown only to the clinic's doctor and authorized staff.
- Inquiry data: details you send us through our website or WhatsApp when asking about our services.
3. How we use data
- To book, change and cancel appointments and send reminders and follow-ups.
- To notify the client's staff and doctors about bookings and changes.
- To answer questions about our services and arrange demos.
- To keep our systems secure and fix errors.
We do not sell personal data and do not use patient or customer messages for advertising.
4. Service providers we use
To run our systems we use third-party services, which process data on our or our client's behalf: Meta (WhatsApp Business Platform), Make.com (workflow automation), Google (Google Sheets storage), and Anthropic (Claude AI model used to understand and reply to messages). These providers have their own privacy policies and security practices.
5. Where data is stored
Client records are stored in a Google Sheet that belongs to the client. Data may be processed on servers outside Pakistan by the providers listed above.
6. Retention
Data is kept for as long as the client uses our service and as long as needed for the purposes above. Clients can ask us to delete records at any time. Inquiry data sent to us is kept only as long as needed to respond and follow up.
7. Security
We limit access to systems and credentials, and use the access controls offered by the providers above. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Your rights and data deletion
You can ask to see, correct or delete your personal data. If you messaged a clinic or business that uses our system, please contact that business first; we will assist them in fulfilling your request. You can also contact us directly at hello@aigenis.pk or on WhatsApp at +92 300 1535354 with the phone number used, and we will act on valid requests within a reasonable time.
9. Medical disclaimer
Our systems handle scheduling and clinic information. They do not provide medical advice, diagnosis or treatment. In an emergency, contact your doctor or local emergency services.
10. Children
Our website is not directed at children. Appointment messages for children are expected to be sent by a parent or guardian.
11. Changes to this policy
We may update this policy and will change the date above when we do.
